Preparing project and machine information for a tender
Before assembling a submission, bring the opportunity details and the proposed plant into one working view. Keep unconfirmed information marked for review rather than treating a proposed allocation as a commitment.
Capture the opportunity
Record the tender name, client, closing date and current stage. Keep a next action with the opportunity so the team knows what to review before the deadline. If a value is still an estimate, check it against your source material rather than presenting it as an agreed amount.

Check the proposed project details
Write down the client, site location, expected dates and scope information your team actually has. Flag unknowns for follow-up. If the tender becomes work, TenAdapt can convert its record into a linked project; the team still checks the resulting project details.
Verify the machines
For each machine you may nominate, check its identity, recorded status and hour-meter reading against your own register. Review service, registration, insurance and inspection dates with the relevant documents. Confirm suitability and availability with the responsible people; a register cannot make that decision for you.
Reconcile before submission
Compare the proposed plant list with other project allocations and changes to the programme. Check dates, attachments and the submission requirements from the tender issuer. Keep the submission itself under your normal review and approval process.
