Plant rego and insurance record checklist

A dated record helps your team find the source paperwork before a machine is allocated. Use this as a general checklist, not as proof that a machine is registered, insured or fit for a particular site.

Match the paperwork to the machine

Check the fleet number or asset ID, make, model, serial number or VIN, and registration identifier against the machine and the source document. Record only identifiers that apply; do not infer a missing registration from another machine’s paperwork.

Record the dates from the originals

Note the registration expiry and insurance expiry exactly as shown by the current documents. Keep the document version, issuer and any relevant policy reference in your own records. If a renewal is pending, verify the replacement before updating the expiry date.

Check the work and the jurisdiction

Verify with your insurer, registration authority, client and site what cover, registration, permits or evidence are required for this machine and this work. These requirements can vary by jurisdiction, machine type, use and contract. This checklist is not legal or insurance advice.

Review changes before allocation

Assign someone to review upcoming dates and check the actual documents before the machine goes to a project. Revisit the record after a renewal, change of use, transfer or policy change. A stored file or due date is a prompt to check, not a guarantee of compliance.
